Google Chat is POIETO's external coordination channel — used between POIETO staff and partner site staff to run the program. It is not a participant channel, not a personal channel, and contains no AI tools. These rules govern how POIETO staff uses it.

The assigned Teaching Artists and Program Lead are on the channel. Operations or HR staff may be added for scheduling or incident coordination. Confirm the channel roster with Christine at program start.

Site coordinators
The designated program contact at the partner site. Check with Christine on who has been added for each site. Not all site staff are on the channel.

- Supply or materials requests
- Schedule changes or coverage updates
- Quick check-ins before or after sessions
- Coordination with site staff on the program day
- General program updates between sessions
Don't post this
- Maker names or identifying info
- Incident reports or crisis situations
- POIETO internal business or finances
- Curriculum, IP, or strategy discussions
- Complaints or personal commentary on partner staff
- Anything sensitive or that needs a paper trail

A participant situation requires coordination. Call Ginny (310-560-4685) directly. Don't put details in writing on a shared channel.

Something needs a formal record. Agreements, changes to program scope, anything that might matter legally — take it to email so there's a clear record with timestamps and the full thread.

The back-and-forth has gone more than 4 messages. Just call. Text conversations with multiple parties and nuance often create more confusion than they resolve.
TA note: If you're ever unsure whether something belongs in the channel, ask yourself: "Would I be comfortable if Christine read this? Would I be comfortable if the partner site's director read it?" If either answer is no — take it to a call or email instead.
